Spa Theory Cancellation, Reschedule, Waiting Policy

We understand that sometimes you may need to cancel or reschedule your appointment. Please review our policy for refunds below.

Spa Service Cancellations

  • Service Amount will be refunded if cancellation is 12+ hours prior to appointment start time.

  • A 3.5% Credit Card Fee will be deducted on all cancelled appointments.

  • If cancellation request is 12 - 1 hours of the appointment you will be charged 50%. In the event spa services for the day have already begun (e.g. multiple spa services, back-to-back appointments, spa days, etc.) you will be charged in full as your scheduled providers are already on-site.

  • Within 1 hour of the appointment you will be charged in full.

  • If a client cancels after rescheduling two appointments at no cost, a 50% cancellation fee will be charged to ensure fairness for all clients and providers.

  • Any appointments booked for a total of $1,000 or more, whether scheduled on the same or separate days, are subject to a 15% service fee. This fee applies to cancellations regardless of the timeframe before the appointment.

Spa Service Rescheduling

  • There is no charge if the appointment is rescheduled 6+ hours prior to appointment start time

  • Rescheduling requests received between 2 - 4 hours of the appointment start time will be charged 25% of the service request

  • Within 2 hours of the appointment will be charged 50%

  • Rescheduled requests received within 30 minutes of the appointment start time are charged 100% in full.

  • For all rescheduling requests, if provider(s) are already on site (for previously scheduled appointments already taking place, or because it is 30 minutes or less than start time of appointment), you will be charged 100% of the service.

  • First and Second Reschedules: You may reschedule your appointment up to 2 times without any additional fees, provided that notice is given at least 24 hours prior to your scheduled appointment. Third Reschedule: If you need to reschedule a third time, a fee equal to 25% of the total service cost will be added to your booking.

Spa Service Waiting

  • A 15-minute grace from the appointment start time is given to the customer. After which, you will be charged $1/minute for the time that the provider needs to wait.

  • If a provider needs to wait for more than 30 minutes, or you don’t show after 30 minutes of the appointment start time, the appointment is automatically cancelled and you are not refunded for the appointment.

  • If a provider does start a late appointment because they were waiting on a client, it may need to be shortened and ended at the original end-time in order to accommodate the provider’s schedule as they have other appointments.

Spa Party Cancellation/Rescheduling/Waiting

  • Cancellation Policy: Please note that you have until 48 hours prior to your event to cancel or make changes. If cancelled less than 48 hours prior to the event start time, you will forfeit your payment in full. In the event of cancellation within 48 hours, you are able to apply 50% of the original Spa Party Payment to a future Spa Party or single use spa service as an online spa credit within 6 months of the original Spa Party date. 

  • Rescheduling Policy: Any rescheduling of spa parties within 48 hours of the event will result in a rescheduling fee.The rescheduling fee amounts to 25% of the total cost of the spa party.The rescheduling fee must be paid in full before the rescheduled spa party date is confirmed. Once rescheduled spa parties cannot be canceled.

  • Late Policy: Given that spa parties are managed by the hour it is important that they start on time as providers need to go to other events/appointments. There is a 15-minute grace period from the scheduled start time of the event. If you or your guests are running later than 15 minutes we cannot guarantee that the providers can stay past the event end time to finish all services.

Booking Policies for Special Days & Holidays

  • Booking Restrictions:

    • Only credit service will be available for any bookings made on holidays.

    • Holidays covered by this policy include but are not limited to: Valentine's Day, Mother's Day, Father's Day, Thanksgiving Eve, Christmas and New Year's Eve.

  • Cancellation Policy:

    • If the appointment falls on any of the designated holidays listed above, no refunds will be issued for appointments that are cancelled, regardless of the reason or timing of cancellation,

  • Credit Service:

    • For cancelled appointments falling on holidays, customers will receive credit towards future bookings equivalent to the amount paid for the cancelled appointment.
